 Centennial Executive Board Meeting

January 24, 2007

Chair Ardis Hofstad called the Executive Board Meeting together at 7:10pm on Jan. 24 at the Oklee Senior Site with 11 members present.  The secretary's report of the large group meeting of Oct. 25th was read and approved.   Leo Olson handed out a financial report with a total of $1,480.00 received in income from the quilt raffle, the Chili-Cook-Off, proceeds from the meal, window clings sold, and a cash donation from Garden Valley.  Expenses came to $2,644.76 for supplies and the painting of the 2 Centennial signs, food supplies for the meal, a printer, advertising, etc.  A motion was made by Cheryl and seconded by Lori to accept the report.  Motion carried.  Larry Skallet reported that the Game Cards netted a profit of $6,404.41.    Eric Mickelson said that there should be over $100 more coming in from the toy John Deere tractor raffle.       

Old Business:

Cheryl reported that the Chili Cook-Off went well.  There were some minor problems that are going to be addressed.  One was not enough outlets, and that the groups would like to have more room to spread out.  It was decided that we should make it an annual event.  A suggestion was made to have smaller hamburgers, if they are served again.  There were approximately 6 dozen patties left that are in the freezer.  Members of the board offered to purchase what was left individually.

New Business:

Ardis had contacted Mike Moore, an Economic Developer from TRF, who is a grant writer to see if it would be feasible for us to qualify for any grants being offered.  He sent her an e-mail saying that he didn't think any funding source would give money for a generalized celebration, but  that we would have to be more specific as to what we would use it for.  Some of his suggestions were:  a Heritage Play depicting the history of Oklee; creation of a historical museum that would serve as Centennial Headquarters; an old fashioned parade with antique cars and tractors, horses and buggies, a mural painting, some kind of tribute to Coya Knutson.  He also suggested checking with Bob Melby  about finding a source through the Community Action Programs.  He said local sources may contribute as part of a sponsorship program.

He had other ideas on history books and entertainment. 

Eric M. mentioned that his mother, Linda, is a very good grant writer and has done much of it for her school.  He said she may be willing to work on a specific grant.  Leo suggested that we will be needing new banners.  Other ideas were for a PA system, beautification of the city, the Veteran's Memorial Park.  Ardis will talk with Mike Moore and Eric will check with his mother on the grant writing possibilities.

Ardis suggested putting the minutes of our board meetings on the Centennial Web Site.  Eric would like to have something on the site encouraging people to send their family histories to him.  An article could also go in the Oklee Herald asking for family and business histories.

Ardis has a senior high school girl working from old school annuals compiling lists of teachers, administrators, cooks, janitors, secretaries, board members, coaches from all sports and anything else of interest, and putting them into decades.   Phyllis asked if this info could be a section of the History Book.

Committee Reports:

History/Souvenir Comm.

Chair Eric talked about encouraging people to get their family histories in.  The computer is set up in the Oklee Herald Office.  Old pictures can be scanned in a matter of minutes, so people shouldn't be afraid to bring them in.  He is considering doing the book in decades.  Lonny C. suggested that enhanced CD's could be used with taped interviews that would slip into the books.   The 1985 History Book is still available for purchase for $20.   They are stored in the City building.  It was suggested that a few of them could be put out for sale again in some business places.

Advertising Comm.

Jim Dulka said there wasn't too much to report, yet.  Bonnie has been adding the Centennial logo with the game card winners names to make it more noticeable. 

Beautification Comm.

Darrell said that he will schedule a meeting for the spring to plan some landscaping for the gazebo area.  The inside of the gazebo will be painted when the weather permits.  He said the Centennial signs are both up and they are planning to try solar lighting on them.  He received compliments on how nice the gazebo looked with the Christmas lights this year and, also, that the signs looked very good.

School Reunion & Accomodation Comm.

Phyllis said her committee met after the last big group meeting.  They went over their duties and felt there wasn't too much they could do this early.  It was suggested that they find out who is having reunions this year & ask those people to keep their addresses.

Parade Comm.

Cheryl reported that they had a few businesses sign up for entries in the parade at the Chili Cook-Off.  They also acquired several new members for their committee that evening.  She brought some interesting ideas for sales of Red Wing pottery for the Souvenir Comm.

Entertainment Comm.

Lonny reported that Isaac had talked with Jack Sundrud about performing with  the Johnny Holms Band, if we hired his band.  His going price is $10,000, so would have to have board approval before going ahead with this plan.  The Ent. Comm. is planning to meet again in March.

Ardis asked that each committee send her the minutes of their meetings.  They should e-mail their minutes as soon as possible after their meeting.  She encouraged holding regular meetings, preferably before the Executive Board meets.  The Executive Board will meet quarterly.

Eric made a motion that a guideline of $1,000 would be set for a limit for all committees before making a purchase or contracting a band, parade entry, etc.  Phyllis seconded the motion, and the motion carried.

Our next tentative Board meeting date will be Tuesday, March 27 at the Senior Site. (We will set up our Community meeting date at that time.)
